The Malmö Cohorts

Important steps when requesting samples and/or data from the Malmö Cohorts:

1. Feel free to make an initial preliminary contact to get more information (see contact list below).

2. Apply for ethical approval. Only approvals by the The Swedish Ethical Review Authority are accepted. Researchers from universities outside Sweden should contact us to make sure that an approval is already available, but if not an ethical application must be submitted.

3. Minimize the amount of biological material requested because of limited resources.

4. Observe the instructions in the documents below if you wish to extract variables from the diet database.

5. Fill in and submit the application form to Professor Olle Melander (chairman of the Steering Committee) and to Anders Dahlin (data manager of the MPP/MDCSMOS cohorts), along with a list of the desired variables, or with a reference to the published scientific paper with the desired analyses/variables. The terms and conditions for transfer of samples and data are given in detail in the application form. We have to follow Swedish law and GDPR rules within EU.

6. The application is handled by the MPP/MDCS/MOS Steering Committee (Chairman Olle Melander), we have six meetings per year when decisions on applications are made.

7. A copy of the approved application with the project number is returned to the applicant, along with an extract of the decision given in the minutes from the Steering Committee Meeting.

8. When biological material are requested, please contact biobank administrator Kerstin Andersson (kerstin [dot] andersson [at] med [dot] lu [dot] se) or the County Council Region Skåne's Biobank department 47 (BD47) in Lund (RS136BD47 [at] skane [dot] se ).

9. DNA and -20 °C samples are stored and handled by BD47, Lund. BD47 needs to be informed about the current project number (see point 7 above).

10. Pay the invoice for retrieval of samples and/or data (see costs below).

11. After finishing the analysis of samples, the remaining samples (if any are remaining) should be destroyed or returned if agreed.

12. Return the results of sample analysis to Anders Dahlin (only if biological samples have been obtained).

13. State in publications that samples and/or data from the MPP(MDCS/MOS cohorts have been used.

14. If DNA have been obtained for genetic analysis it should also be stated that Region Skåne’s Biobank BD47 has stored the samples

Costs (fees) for sample and data extraction

Registration fee, new application

25 000 SEK

Registration fee, supplementary application

5 000 SEK

Biological sample, DNA

10 SEK/sample plus cost at Biobank department 47 (BD47)

Biological sample, other samples

100 SEK/sample plus cost at Biobank department 47 (BD47)

Data (working time data manager)

1 500 SEK/hr

* Only one registration (startup) fee is charged for MPP/MDCS/MOS parallel applications. Applications regarding validation of data via patient journals are not charged, however, a requirement is that results from validation are transferred to the MPP/MDCS/MOS databases. For sample retrieval and aliquoting performed by own personnel, sample cost is not charged, however, working time for data management in connection with the sample is charged. Lund University's overhead cost (21%) is added.
